Most retailers think of inventory accuracy as an operational concern — knowing what’s on the shelves, reducing shrinkage, making better purchasing decisions. All true. But in 2026, it’s also a compliance issue.
HMRC expects stock records used in VAT retail scheme calculations to be accurate enough for statutory accounting purposes. If your records aren’t reliable, your VAT returns aren’t reliable either. And with Making Tax Digital now requiring quarterly digital submissions, any discrepancy between physical stock and system records surfaces faster and more visibly than it used to.
The HMRC guidance on stocktaking is quite clear: the frequency of stocktakes should match the volume of transactions. In some businesses, daily checks are appropriate. Discrepancies must be documented, investigated, and authorised by management. Stocktakers should not be aware of the book figures when counting.
For garden centres, this is particularly challenging. Seasonal stock, perishable plants, bulk items sold by weight or volume, and high-footfall weekends all create opportunities for records to drift from reality. Pool and spa retailers face similar challenges with chemical inventory that has shelf-life constraints and regulatory tracking requirements.
At ITS4, our inventory accuracy consulting addresses exactly this gap. We implement systematic stock control processes, configure your POS for accurate tracking, and build the reconciliation workflows that keep your digital records aligned with physical reality. This is one of our most differentiated services — there’s very little direct competition at this level in the UK SME market.
